For me, the appeal of AI means I’m in danger of delaying other work because I’m busy having fun with AI! So, what does real AI for productivity and efficiency at work actually look like? Well, this blog will dive a little deeper on how AI can be used to remove friction – freeing up time, focus and brain space for the work that will shift the need.
The productivity paradox of AI
Here’s the paradox: AI adoption in organisations is skyrocketing, but productivity isn’t quite… yet.
The FT’s Copilot trial found that UK civil servants saved an average of 26 minutes per day using AI to summarise and respond to emails. Yet many teams still report feeling busier than ever.
Why? Because AI’s benefits only appear when you stop treating it like a gadget and start treating it like a partner.

Working smarter, not harder

In one of our workshops, a participant discovered they could:
- Ask AI to summarise a meeting,
- Draft a follow-up email, and
- Turn that summary into a checklist – all from the same chat thread.
That single workflow saved them around 40 minutes per meeting!
According to the Microsoft Work Trend Index 2024, 75% of workers say they don’t have enough time to focus, even as AI tools become more common. Productivity doesn’t come from just more automation – it comes from using it intelligently.
Thinking in partnership with AI
AI doesn’t just help you do more… it can help you think better.
When you’re overwhelmed by options, try asking AI to weigh them up: “List the pros and cons of Option A vs Option B. Which fits our goals better?”
When your brain’s jammed with tasks, ask: “Help me decide what’s urgent versus important.” You’re not outsourcing judgement – you’re bringing in a thinking partner – and that’s exactly where AI shines.
As one workshop participant put it: “It’s like having a calm assistant who never gets tired of thinking out loud with you.”
Shifting your mindset: less grind, more gain
Being productive with AI means shifting how you think about your workload.
Ask yourself:
- Where does decision fatigue show up in your day?
- What could you delegate to AI if you gave it clearer context?
- What would it take to build a tiny, daily AI habit that sticks?
Once you’ve worked out where AI can streamline your workload, you can start planning what you can do with the time you save.
Quick start: your AI-boosted workday
If you’re ready to try this out, start small.
Morning: Ask AI to turn your meetings and inbox into an action list.
Midday: Get it to draft or polish content e.g. “Make this sound clearer and more confident.”
Afternoon: Ask it to summarise what you achieved today and prep your top three priorities for tomorrow.
This is how you can begin to turn “AI curiosity” into a real, repeatable habit for productivity and efficiency at work.
